Lawn Care Late Fees and Autopay
How to set late fees and autopay for mowing accounts without sounding like a collections agency, or training people that invoices are optional.

Late fees without same-day invoices are theater. Autopay without a posted Regular vs Cash policy is a surprise. The professional stack is speed, then card-on-file, then a boring fee you disclosed on day one.

Policy you can print
- Invoice the day of the visit (or the weekly batch you actually send)
- Due in X days (7 and 14 are common)
- Card or ACH on file for recurring plans
- Regular total if card; Cash if they pay the other way
- After Y days: reminder, then fee (if you use one), then pause

Autopay without sleaze
On the quote: “Recurring plans bill the Regular total to the card on file. Cash/check is $X.”
In the portal: update card, see balance, no treasure hunt.
Do not run a card they did not agree to. Do not switch them to Regular silently after a cash handshake.
Worked cadence
- Day 0: invoice
- Day 3: friendly “in case you missed it” if no autopay
- Day 14: second notice
- Day 21: pause next visit
- Fee only if it was on the original quote

When to skip the fee and just pause
Chronic late + small balance: pause is cheaper than nickels. Chronic late + large commercial: pause and AP conversation. Abuse: fire.

What to do when they ‘never got the invoice’
If it went to the portal and the email on file, they got it. Offer to update the email. Do not waive the due date because their spam folder is a lifestyle. If your system cannot prove send, fix the system before you collect a fee. Fees without proof are how you look sloppy.
ACH versus card: ACH is slower and cheaper. Card is Regular total. Do not let someone ACH the Cash number after they already enjoyed card convenience last month. One policy. Autopay method chosen on the plan.
Family accounts and rentals: the person who lives there is not always the person who pays. Put the bill-to on the customer and the gate on the property. Late fees on the wrong human are how you lose both.
A one-page terms card for the truck
Print four lines and put them in the console:
- Invoice the day we finish
- Due in 14 days
- Card on file for recurring. Regular total
- After day 21 we pause, not plead
If a homeowner asks for “just one more cut” on a past-due, the crew points at the card. They do not renegotiate. You can still make an exception from the office with a written date. Exceptions that live only in a text become the new terms for the whole street.
Review aging every Friday for fifteen minutes. Not to become a collections agency, to see whether invoices actually left. If aging is fat and send-proof is thin, fix sending before you talk about fees. Fees on invoices nobody received will lose the customers you wanted to keep.
