How to Trial Lawn Care Software in One Real Week
A one-week trial that uses your routes, a rain move, a quote, and an invoice, so you do not buy a demo you will never run.

Vendor demos are polite. Your Thursday is not. A trial that uses sample customers will tell you the buttons work. It will not tell you whether your gate codes, your biweekly drift, and your Regular vs Cash invoice survive a rain day.
This is a one-week exam. Use it on any vendor, including us. Score with the buyer’s checklist. If you later migrate, use switching software.
The five tests (do all of them)
- Board. Today’s stops, owners, frequencies, notes
- Rain. Bulk-move a pocket, notify once, keep sequence
- Quote. Lot or condition, add-on, accept → job
- Invoice. Same-day, policy matches the quote
- Helper. Second login, no coaching after lunch
Skip one and you will be surprised in week three.
What to load
| Load | Skip |
|---|---|
| 20–40 active properties | 2018 one-offs |
| Current package prices | Expired promos |
| Gate / dog / blow notes | Photos with no address |
| 3–5 open invoices | Paid history you will never read |

Day-by-day (one week)
Day 0 (Sunday): Import or type the pocket. Publish Monday. If you cannot publish, stop. Settings are not a trial.
Monday–Tuesday: Run the list. Completions only in the app. Note every “I had to text anyway.”
Wednesday (force weather): Even if it is sunny, practice a bulk move. Time it. Weather reschedules should not be a new product.
Thursday: Send one real quote. Include an add-on. Accept it into a job.
Friday: Invoice completed work. Dual totals if that is policy. Helper runs Friday without you.
Saturday: Score. Export a CSV. If export is painful, price that.
Scorecard (print this)
| Test | Pass looks like | Fail looks like |
|---|---|---|
| Publish | < 20 minutes | You rebuilt in Calendar |
| Helper | No call after 10 a.m. | Screenshots in chat |
| Rain | Pocket moves together | 40 individual texts |
| Quote → job | No retype | Second spreadsheet |
| Invoice | Same day, same scope | Sunday catch-up |
| Export | You have a file | Ticket to support |

What vendors will try to skip
They will offer a shared screen of sample customers. They will skip the helper login. They will call a rain drill “we can show you that later.” Later is week three of your season. Insist on your properties or the trial is a commercial.
They will also let you spend 12 days on logos. Cap settings at two hours. If the product needs a project manager to schedule a mow, you bought a suite, not a desk. That can be right for a regional shop. It is wrong for a two-truck Thursday.
After you pass, or fail
Pass: migrate the next pocket, not the city. Keep the old system read-only for 30 days. Do not raise prices the same week. Switching is a filter.
Fail: write why. “Crew would not open it” and “invoice still Sunday” are better notes than “bad vibes.” Use them on the next vendor. Two failed trials that fail the same way mean your process is the product. Fix publishing the board before you shop again.
Bring a helper to the trial on purpose
If you trial alone you will paper over every friction because you already know the yards. The helper does not. Their first hour in the app is the truth. Sit on your hands. Write down every question they ask. Those questions are either a training card or a product fail.
Do not trial on the worst week of your life unless you are only testing rain. A normal week plus one forced weather move is enough. A disaster week plus a new app is how you blame the app for a route you already broke.
Record the score the same day. Memory will soften the fail if the logo was pretty. The scorecard in this article exists so you cannot gaslight yourself in week two when a salesperson follows up.
How MowProHQ expects to be tried
MowProHQ Free lets you run the five tests on real jobs. Growth includes a 30-day trial of dispatch, GPS, chemicals, timeclock, unlimited seats, and a live site, use it for the rain day and the second login, not for a month of theme colors. Cards: 4% + $0.30 on Free, 3.5% + $0.30 on Growth/Pro.
Sign up, load one zip, and keep your old system as backup for seven days. If the week is calmer, migrate the rest with a plan. If it is not, you learned cheap. See pricing only after the exam.
Bring a helper and sit on your hands. Their questions are the product test. Cap settings at two hours. Force a rain move even if the sky is clear. Export a file before you trust a vendor. Score the same day so a pretty logo cannot rewrite history. Pass means migrate a pocket, not the city. Fail means write why and use it on the next demo. A trial that is not a Thursday is a commercial you paid for with your calendar.
Frequently asked questions
- How should I trial lawn care software?
- Load 20–40 of your real properties, run one actual route week, force a weather move, send one quote with an add-on, and invoice a completion with your card policy. If that loop needs the vendor on the phone, the demo week was theater.
- How long should a lawn care software trial last?
- One full route week is enough to prove the board. A 30-day trial is useful if you also test a helper login and one rain Thursday. Do not spend 30 days in settings with no trucks on the calendar.
- What data should I put in a software trial?
- Active properties, current prices, gate and dog notes, and a few open invoices. Do not import five years of junk. A dirty trial teaches you nothing except that imports are messy.
- Should I trial two lawn care tools at once?
- Only if you can give each tool the same Thursday. Two half-trials is how you pick the prettier login. One week each, same scorecard, is slower and honest.
- What is a fair scorecard for a lawn care software trial?
- Time to publish tomorrow, whether the helper can finish without calling, quote-to-invoice without retype, rain move in minutes not hours, and export if you leave. Feature count is not a score.
- When is a trial a fail even if the software is powerful?
- If crews will not open it, if invoicing is still a Sunday project, or if you needed a specialist to schedule a normal mow. Power you cannot run is shelfware.
- Can I trial software in the middle of spring?
- Trial a pocket, not the company. Do not cut over city-wide during the first growth flush. A failed trial in one zip is tuition. A failed go-live is a season.
