    Pause, skip, and cancel are three different jobs. Operators who treat them as one word spend July arguing about invoices and August staring at holes in a neighborhood they used to finish by 2. The fix is a written rule the office can apply without calling you.

    This playbook sits next to recurring mowing plans, weather reschedules, and how to write lawn care quotes. Put the rule on the quote. Put the outcome on the calendar. Do not invent a third version in a text at 7:10 a.m.

    Publish a notice window

    Customers will ask to skip the morning you are already on their street. That is not a scheduling request. That is a hole.

    We can pause from [date] through [date]. Billing will [pause / credit / keep]. Your restart is [same day / next open]. If you need longer than [cap], we release the slot and you join the waitlist for that pocket. Reply YES to lock the dates.

    Put YES on the property. The crew should see “PAUSED through 9/12” on the stop list, not a rumor.

    Weather is not a customer skip

    Rain is your operations problem. Vacation is theirs. Do not let a customer stack a rain make-up onto a two-week trip and call it “you already owed us a cut.” Your weather reschedule window should say:

    • Who decides the skip (you)
    • How you tell them
    • Whether the visit moves inside X days or is waived
    • That a customer vacation does not add extra owed cuts

    If you owe a make-up and they are out of town, the make-up dies or waits until restart. Say which. Crews that “just catch them up” with two cuts in one week blow the day and teach the account that weather is a coupon.

    Cancellation without a scene

    Cancellation is a date. It is not a speech. You already have a playbook for dropping a bad-fit account in how to fire a lawn care customer. When they cancel you:

    1. Confirm the last service date in writing
    2. Finish what you already scheduled if you can do it without resentment
    3. Send the final invoice
    4. Turn the plan off the same hour
    5. Note “do not reschedule” on the property so a helper does not go back

    Customer-cancel script

    We will complete service through [date]. After that the plan ends. Final invoice will follow the last visit. If you want to return later, we will check the route pocket at that time, we do not hold an empty pin.

    If they owe money, collections is a separate cadence. You can collect and still leave the plan dead.

    Worked example: three texts, three outcomes

    Skip. Rivera texts Tuesday 6 p.m.: company in town Thursday. Your cutoff is 48 hours. Thursday is inside the window. Office marks Thursday skipped, no invoice. Next Thursday generates as usual.

    Pause. Patel texts: three-week trip, dates attached. Office pauses 8/24–9/13, billing paused, restart same Tuesday if they confirm by 9/10. Waitlist does not get the pin because the hold is inside the four-week cap.

    Cancel. Nguyen texts: sold the house. Last visit this Friday. Plan off Friday afternoon. Final invoice that night. Property note: do not reschedule; new owner is a new quote.

    The failed shop treats all three as “ok we’ll figure it out.” Figure-it-out is how Friday’s board still shows two dead stops and a live one you already promised to skip.
